Terms & Conditions

Last updated: 2 November 2026

1. About us

Pedalebikes

Company Number: 16974834

Registered Address: 167-169 Great Portland Street, London, United Kingdom, W1W 5PF

Email: Admin@pedalebikes.co.uk

These Terms & Conditions apply to the rental and use of e-cycles and related equipment supplied by Pedalebikes.

Please read them together with your E-Cycle Rental & Subscription Agreement, Privacy Notice and any applicable handover, repair or return records.

By entering into a rental agreement with Pedalebikes, you agree to these Terms & Conditions.

2. Eligibility

To rent an E-Cycle from Pedalebikes, you must:

  • be at least 21 years old, unless otherwise agreed by Pedalebikes in writing;
  • provide accurate information requested by Pedalebikes;
  • provide satisfactory proof of identity where requested;
  • enter into a Rental & Subscription Agreement; and
  • comply with these Terms & Conditions.

Pedalebikes may carry out reasonable identity, payment and fraud-prevention checks before approving a rental.

3. Your subscription

Your individual Rental & Subscription Agreement will state important information including:

  • your subscription price;
  • payment frequency;
  • deposit, if applicable;
  • subscription start date;
  • E-Cycle allocated to you; and
  • any additional agreed charges or services.

Your subscription continues in accordance with the terms stated in your Rental & Subscription Agreement until cancelled or terminated.

If there is any inconsistency between these Terms & Conditions and your signed Rental & Subscription Agreement, the Rental & Subscription Agreement will take priority to the extent of that inconsistency.

4. Payments

You must pay your subscription charges when they become due.

You are responsible for ensuring that your payment details remain valid and that sufficient funds are available.

If a payment fails or becomes overdue, Pedalebikes may contact you and request payment.

Where permitted by your Rental & Subscription Agreement and applicable law, continued non-payment may result in suspension or termination of your subscription and a requirement to return the E-Cycle.

Pedalebikes will not impose charges or penalties that are unlawful or disproportionate.

5. Ownership

The E-Cycle and all Equipment supplied by Pedalebikes remain the property of Pedalebikes at all times.

Renting an E-Cycle does not give you ownership of:

  • the E-Cycle;
  • battery;
  • charger;
  • lock;
  • keys;
  • GPS/security equipment; or
  • any other Equipment supplied by Pedalebikes.

You must not sell, pawn, dispose of, permanently transfer or claim ownership of Pedalebikes property.

6. Using the E-Cycle

You must use the E-Cycle responsibly, safely and in accordance with applicable law.

Unless Pedalebikes has expressly agreed otherwise, you must not:

  • allow an unauthorised person to take over your rental;
  • sub-rent the E-Cycle;
  • sell or dispose of the E-Cycle or Equipment;
  • deliberately damage the E-Cycle;
  • use the E-Cycle for unlawful purposes;
  • use the E-Cycle in a manner that creates an unreasonable risk of damage or injury; or
  • continue riding where you know or reasonably should know that the E-Cycle has a serious safety fault.

Where the E-Cycle is used for delivery work, you remain responsible for complying with applicable laws and any requirements imposed by the delivery platform you use.

7. Modifications and tampering

You must not make unauthorised modifications to the E-Cycle.

In particular, you must not:

  • de-restrict the E-Cycle;
  • alter its assisted-speed limit;
  • modify the motor or controller;
  • modify or interfere with electrical wiring;
  • modify the battery;
  • install unauthorised electrical components;
  • interfere with safety equipment;
  • remove or interfere with serial numbers or identification labels; or
  • remove, disable or interfere with GPS/security equipment.

If you believe a modification or accessory is necessary, contact Pedalebikes before making the change.

8. Care of the E-Cycle

While the E-Cycle is in your possession, you must take reasonable care of it.

This includes:

  • locking it securely when unattended;
  • taking reasonable precautions against theft;
  • protecting the battery and charger from avoidable damage;
  • using the E-Cycle appropriately;
  • reporting significant faults promptly; and
  • bringing the E-Cycle for maintenance or inspection when reasonably required.

You are not responsible for ordinary deterioration resulting from fair wear and tear.

9. Battery and charging

You must take reasonable care when charging the E-Cycle battery.

You must:

  • use the charger supplied or approved by Pedalebikes;
  • follow reasonable charging and safety instructions provided by Pedalebikes;
  • stop using a battery or charger that appears seriously damaged, overheated or unsafe; and
  • notify Pedalebikes promptly of significant battery or charger faults.

You must not:

  • open or dismantle the battery;
  • modify the battery or charger;
  • use an obviously damaged charger;
  • deliberately expose electrical Equipment to conditions likely to cause damage; or
  • attempt unauthorised battery repairs.

10. Maintenance and repairs

Pedalebikes will arrange maintenance and repairs that are its responsibility under your Rental & Subscription Agreement.

You must report significant faults within a reasonable time after discovering them.

You must not arrange significant unauthorised repairs or modifications without Pedalebikes' permission, except where emergency action is reasonably necessary to prevent immediate danger or further serious damage.

When an E-Cycle is brought in for repair, Pedalebikes may record:

  • its condition;
  • mileage;
  • reported faults;
  • damage;
  • photographs;
  • repairs performed; and
  • replacement components.

Where a battery, charger, lock, E-Cycle or other item is replaced, the replacement item becomes part of the Equipment supplied under your rental.

11. Damage

You must notify Pedalebikes promptly of significant damage to the E-Cycle or Equipment.

You will not automatically be charged simply because a component fails or requires maintenance.

However, you may be responsible for reasonable repair or replacement costs where damage or loss results from circumstances for which you are responsible under your Rental & Subscription Agreement, such as:

  • deliberate damage;
  • misuse;
  • unauthorised modification;
  • avoidable negligence;
  • loss of Equipment; or
  • failure to take reasonable care.

Any charge will take account of the circumstances and must be reasonable.

Where appropriate, Pedalebikes may provide details of the damage and the amount charged.

12. Theft or loss

If the E-Cycle is stolen or lost, you must notify Pedalebikes as soon as reasonably possible.

Where appropriate, you may also be required to:

  • report the theft to the police;
  • obtain a crime reference number;
  • provide information about the circumstances;
  • return any remaining keys, battery, charger or Equipment; and
  • reasonably cooperate with recovery efforts.

Whether you are responsible for any loss will depend on the circumstances and the terms of your Rental & Subscription Agreement.

The fact that an E-Cycle is stolen does not automatically mean that the Customer is responsible for its full replacement value.

13. Accidents

If you are involved in a significant accident involving the E-Cycle, you should:

  • obtain appropriate emergency assistance where necessary;
  • stop using the E-Cycle if it may be unsafe;
  • notify Pedalebikes as soon as reasonably possible;
  • provide reasonable information about what happened; and
  • cooperate with any necessary inspection or insurance process.

Do not continue riding an E-Cycle that you reasonably believe is unsafe.

14. GPS and security tracking

Pedalebikes E-Cycles may contain GPS, telematics or other security technology.

This technology may be used for legitimate purposes including:

  • theft prevention;
  • locating stolen or missing E-Cycles;
  • recovery of Pedalebikes property;
  • fleet management;
  • maintenance;
  • security; and
  • investigation of serious misuse.

Personal information generated by this technology will be handled in accordance with the Pedalebikes Privacy Notice and applicable data protection law.

GPS tracking does not give Pedalebikes permission to enter private property unlawfully.

15. Handover and condition records

At the beginning of the rental, Pedalebikes may complete an Initial E-Cycle Handover Report.

Pedalebikes may also complete repair, maintenance and condition records during the rental.

These records may include photographs and serial numbers and may be used to establish:

  • what Equipment was supplied;
  • the condition of the E-Cycle;
  • existing damage;
  • repairs carried out;
  • replacement components; and
  • changes occurring during the rental.

Customers should check the handover record and raise any obvious inaccuracies promptly.

16. Returning the E-Cycle

When your rental ends, you must return the E-Cycle and Equipment in accordance with your Rental & Subscription Agreement.

This includes any:

  • battery;
  • charger;
  • lock;
  • keys; and
  • other Pedalebikes Equipment supplied to you.

Pedalebikes may inspect and photograph the E-Cycle when it is returned.

You will not be charged for fair wear and tear.

If Equipment is missing or the E-Cycle has damage for which you are responsible, Pedalebikes may seek reasonable repair or replacement costs in accordance with the Rental & Subscription Agreement.

Some faults, particularly battery, motor or electrical faults, may require reasonable inspection or testing after the E-Cycle has been physically returned.

17. Failure to return Pedalebikes property

If your rental ends and you do not return the E-Cycle or Equipment when required, Pedalebikes may contact you and require its return.

If the property remains unreturned without lawful justification, Pedalebikes may take reasonable and lawful steps to recover its property.

This may include, where appropriate:

  • using security/location information;
  • arranging recovery;
  • pursuing a civil claim; or
  • reporting suspected theft or other criminal conduct to the police where there are reasonable grounds to do so.

Any recovery action will be carried out lawfully.

18. Cancellation by the customer

You may cancel your subscription in accordance with the cancellation terms contained in your Rental & Subscription Agreement.

Reservation cancellations and the missed-collection rule — including return to waiting-list position 2, the 30 called-for-collection day limit and the 5-day warning — are set out in the Refund Policy.

You remain responsible for:

  • subscription charges properly due before cancellation takes effect;
  • returning the E-Cycle and Equipment; and
  • any other legitimate amounts properly due under the Rental & Subscription Agreement.

Nothing in these Terms limits any statutory cancellation rights that apply to you.

19. Termination by Pedalebikes

Pedalebikes may terminate or suspend a rental where permitted by the Rental & Subscription Agreement, including where there is a serious or repeated breach.

Examples may include:

  • significant non-payment;
  • fraud;
  • theft;
  • deliberate damage;
  • unauthorised sale or transfer of the E-Cycle;
  • serious misuse;
  • dangerous unauthorised modification;
  • deliberate interference with security equipment; or
  • refusal to return Pedalebikes property after the rental has lawfully ended.

Where appropriate, Pedalebikes will give reasonable notice and an opportunity to resolve the issue before termination.

Immediate action may be taken where reasonably necessary because of fraud, safety, theft, serious misuse or protection of Pedalebikes property.

20. Our responsibility

Pedalebikes does not exclude or restrict liability where doing so would be unlawful.

Nothing in these Terms excludes or limits liability for:

  • death or personal injury caused by negligence where liability cannot lawfully be excluded;
  • fraud or fraudulent misrepresentation; or
  • any other liability that cannot legally be excluded or limited.

Nothing in these Terms affects your statutory rights.

21. Your personal information

Pedalebikes processes personal information in accordance with its Privacy Notice and applicable UK data protection law.

The Privacy Notice explains what information we collect, why we use it, GPS/location processing, who information may be shared with, retention periods and your data protection rights.

The latest Privacy Notice should be made available to customers through Pedalebikes.

22. Changes to these Terms

Pedalebikes may update these Terms where reasonably necessary, for example because of:

  • changes in law or regulation;
  • safety requirements;
  • changes to our services;
  • changes to technology; or
  • legitimate operational requirements.

Where a change materially affects an existing Customer's rights or obligations, Pedalebikes will provide reasonable notice where required.

We will not use this provision to make arbitrary changes that unfairly disadvantage Customers.

23. Complaints

If you have a complaint, please contact:

Pedalebikes

Email: Admin@pedalebikes.co.uk

We will aim to investigate complaints fairly and within a reasonable period.

Nothing in this section prevents you from exercising any rights or remedies available under applicable law.

24. Customer reviews

After a rental has been returned and fully completed, a Customer may submit a star rating and an optional written review through their account profile.

A review must relate to the Customer's genuine experience and must be respectful and lawful. Reviews must not contain threats, harassment, hate speech, obscene material, personal information, spam, advertising, or content that is unlawful or infringes another person's rights.

Written reviews are limited to 500 characters. We may refuse to publish, remove, or decline to use any review at our discretion, including where it breaches these Terms or our review standards.

Approved reviews may be published on our website anonymously. We do not publish the Customer's name, contact details, rental reference, or other identifying information without separate consent.

Reviews are subject to moderation by our Office or Admin team. Approval is not guaranteed and submitting a review does not create an obligation to publish it.

Rejected reviews may be retained internally for administrative, moderation, legal, or security purposes and may be deleted at any time. Reviews may also be removed after publication if we consider that necessary.

25. Governing law

These Terms & Conditions and your rental relationship with Pedalebikes are governed by the laws of England and Wales, subject to any mandatory consumer protections that apply to you.

Nothing in these Terms removes any right you may have to bring proceedings in another UK jurisdiction where applicable consumer law gives you that right.
